What is AI automation for a small business?

AI automation is using software to handle the repetitive parts of running a business — answering calls, replying to enquiries, booking appointments, chasing follow-ups, moving data between apps — with AI handling the steps that need interpretation rather than a fixed rule. For most small businesses it isn't one system; it's three or four specific tasks that eat hours every week and don't need a person.

What business tasks can be automated?

The reliable wins are call answering, missed-call follow-up, lead response, appointment booking and reminders, review requests, invoicing and payment chasing, client onboarding, and data entry between systems. The test is simple: if a task is repetitive and follows rules you could write down, it can usually be automated. If it needs judgement about something new every time, it usually can't.

Is AI automation worth it for a small business?

It's worth it when a specific task is costing you more than the automation would. That's a real calculation, not a slogan — a business missing ten calls a week has an obvious case, and a business missing one doesn't. Do I need any technical skills?

No. We handle strategy, build, launch, and support. You describe your business and the problems you want solved; everything technical is our job.

What's the difference between a chatbot and an AI agent?

A chatbot answers questions. An AI agent takes actions — booking the appointment, updating the CRM, sending the follow-up. The distinction matters commercially: answering a question deflects work, taking an action completes it. Most useful builds combine both.

What's the difference between workflow automation and AI automation?

Workflow automation follows rules you define: when this happens, do that. It's predictable and cheap. AI automation handles the steps that need interpretation — reading an unstructured email, summarising a call, deciding which category an enquiry belongs to. Good systems use rules wherever a rule will do and AI only where judgement is genuinely needed, because rules are more reliable and cost less to run.

Chatbots, AI receptionists, and automation builds are quoted per project after a free review, because the honest range is wide and depends on how many systems are involved. You get a fixed quote before any work starts.

How much does an AI receptionist cost?

It depends on call volume, how many types of question the agent has to handle, and what it books into. That's not evasion — those three factors move the number more than anything else, and quoting a figure before knowing them would be a guess you'd hold us to. How long does an AI automation project take?

Most projects go live in 2–4 weeks. Week 1 is discovery and planning, weeks 2–3 are build and testing, and week 4 is launch and training. Missed-call text-back is usually faster than that; a website plus several connected automations can run longer.

Is there a long-term contract?

No. The Essentials package is month-to-month and cancels anytime. Project work is a fixed quote for a defined scope. We don't lock anyone into retainers.

What can an AI receptionist do?

It answers inbound calls in a natural voice, handles common questions about hours, services and pricing, books and reschedules appointments in your calendar, captures caller details, routes urgent calls to a person, and sends you a written summary after every call. It works 24/7.

Can an AI receptionist book appointments?

Yes. It reads live availability from your calendar, offers real open slots, and writes the confirmed booking back with the caller's details. It can reschedule and cancel too.

Can AI respond to missed calls automatically?

Yes. Missed-call text-back sends a text to the caller within about thirty seconds of an unanswered call, inviting them to reply by text. It's the cheapest automation with the clearest payback, which is why it's usually the first thing we set up.

Will my customers know they're talking to an AI?

The voice is natural, and we generally configure the agent to say it's an assistant. Being upfront tends to reduce complaints rather than cause them, and it keeps you clear of disclosure expectations that are tightening in most jurisdictions.

Does it replace my receptionist?

It replaces your voicemail box. If you have someone at a front desk doing in-person work, an AI receptionist takes the routine calls off them so they can do that job properly. We'd rather say that plainly than sell you on cutting a role.

Software, integration and security

Can AI integrate with my existing CRM?

Usually yes — through a direct integration, or through Make or Zapier where one doesn't exist. Some closed systems genuinely can't be connected, and we check that before quoting rather than after.

Do I need to replace my current software?

Almost never. The normal approach is to connect what you already use. Replacing working software is expensive and disruptive, and it's rarely what the actual problem needs.

Can AI automation work with Microsoft 365 or Google Workspace?

Yes. Both integrate well for email, calendar, documents and contacts, and most of the automations we build touch one or the other.

Is AI automation secure?

It's as secure as how it's built. We work inside accounts you own, use scoped credentials instead of shared passwords, document every data flow so you know exactly what moves where, and keep sensitive data out of services that don't need it. If you operate under PHIPA or a similar obligation, tell us at the review and we design for it from the start.
