Workflow & Business Automation Services

Workflow automation connects the software you already use so information moves between systems without anyone retyping it, and routine steps happen on their own. The usual result is several hours a week back, and fewer things falling through the cracks.

Stop losing hours to repetitive work. We design workflows that automate follow-ups, scheduling, data entry, invoicing, and hand-offs between your tools — so your team can focus on the work that actually earns money.

How it works

How workflow automation works

We map where time actually goes

The free review is mostly this: finding the handful of tasks that eat the most hours and are the most mechanical.

We prioritise by payback

You get a list ordered by hours saved against effort to build, so the first thing we automate is the thing worth automating.

We build, test, and hand over

Each workflow is tested against real cases before it goes live, and you get documentation for what it does and how to change it.

What you get

What you get

Automate the busywork

Follow-ups, reminders, data entry, invoicing, and lead routing run in the background instead of on your to-do list.

Connect your tools

We link your CRM, email, calendar, and apps with platforms like Make and Zapier so data flows without copy-paste.

Save hours every week

Reclaim time across sales, support, and operations with workflows built around how you actually work.

Best suited for

Who this is for

  • Businesses running the same process manually more than a few times a week
  • Teams copying data between two systems by hand
  • Owners doing admin in the evenings
  • Anyone whose "system" is a spreadsheet and a good memory

What it automates

What it handles

  • Moving data between apps without copy-paste
  • Invoice creation, sending, and payment chasing
  • Client onboarding sequences and document collection
  • Appointment reminders and no-show follow-ups
  • Routing enquiries to the right person
  • Recurring reports and daily summaries

Being straight with you

What workflow automation can’t do

Every tool has edges. These are the ones worth knowing before you spend anything.

  • It can't automate a process nobody has defined. If five people do a task five different ways, the first job is agreeing on one way — that part is human work.
  • Some software has no usable integration. Where that's the case we'll say so at the review rather than building a fragile workaround.
  • Automations need an owner. When a tool changes its API or you change your process, something breaks, and someone has to fix it.
  • It doesn't fix understaffing. It removes mechanical work; it doesn't add judgement.

Example

What it looks like in practice

  1. Enquiry arrives

Form submission with service type and postcode.

  2. Record created

A CRM entry appears, tagged and assigned, with no typing.

  3. Right person notified

Routed by service type to whoever handles it.

  4. Documents requested

Onboarding email goes out with the forms you need back.

  5. Job scheduled and invoiced

Calendar entry created, invoice drafted, reminder queued — all from the one submission.

Integrations

What it connects to

  • Make and Zapier for most tool-to-tool connections
  • Google Workspace and Microsoft 365
  • Common CRMs, accounting, and job-management software
  • Custom integrations where an off-the-shelf connector doesn't exist

Data & privacy

How your data is handled

Automations run inside accounts you own. We document every connection so you know exactly what data moves where, and access can be revoked without breaking anything you depend on.

What it costs

Quoted per project after the free review — the scope depends on how many workflows and how many systems are involved.

FAQ

Workflow Automation — common questions

What business tasks can be automated?

The common wins are lead follow-up, appointment reminders, invoicing and payment chasing, client onboarding, data entry between apps, routing enquiries, and recurring reports. The test is whether a task is repetitive and rule-based — if it is, it can usually be automated.

What's the difference between workflow automation and AI automation?

Workflow automation follows fixed rules: when this happens, do that. AI automation handles the steps that need interpretation — reading an unstructured email, summarising a call, deciding which category an enquiry belongs to. Most real builds combine both, with rules doing the reliable work and AI handling the judgement.

Which automation tools do you use?

We use the best tool for the job — including Make, Zapier, custom integrations, and AI — connected to the CRM and apps you already use.

Do I need to replace my current software?

Almost never. The point is to connect what you already have. We'll only suggest replacing something if it genuinely can't do what you need.

Is AI automation secure?

It's as secure as how it's built. We work inside accounts you own, use scoped credentials rather than sharing passwords, document every data flow, and avoid sending sensitive data to services that don't need it. If you're under PHIPA or a similar obligation, tell us at the review and we design around it.
